These instructions assume that as the creator of the event, you already know where it will take place. You can start entering your event details by clicking “Create an Event” or by going directly to the Event Form.
Login to 25Live:
- Open your web browser and navigate to the CCS 25Live website. Note, you can find a link to the site by using the Access Manager.
- Click “Sign In” in the upper right.
- Log in using your CCS credentials.
Access Event Scheduling:
- Once logged in, click “Event Form” at the top of the window. You may also select “Create and Event” from your dashboard.
Create a New Event:
- Fill in the essential details for your event, including the event name, description, and the event type (e.g., meeting, lecture, etc.).
- The “Event Short Name” is a reference name while the “Full Event Public Title” is what will be display to the public.
- The Public Description is essential as it will be publicly visible and provide information to the community about your event. If you haven’t completed the full description yet, please provide basic contact details so that you can be reached for any updates or additional information.
Date and Time:
- Set the date and time for your event. Be sure to check the availability of the venue and any required resources.
- In addition to scheduling the time of your event you may also add in set up and breakdown times.
Recurring Events (if applicable):
- If your event is recurring, such as a weekly meeting, select the recurrence pattern and set the end date if applicable.
Location:
- Specify the event location. You may be able to search for available spaces within 25Live using the Locations Search.
- Remember, your event does not require a space. This is handy for creating a calendar of events that may take place off campus.
- Enter the name or room number of the space you want to use in the search field.
- By clicking “Search” you will be presented with a list of matching rooms.
- Remember, some spaces are managed and need approval while others are open to be reserved without approval. Clicking the name of a room will opne more details about the space including the approval contact.
Select the Event State (required):
- The event state will determine how the event is published and shared.
- Confirmed: all details are in place and the event is ready to be shared with the community. The space reservation is locked and cannot be reserved by others. .
- Tentative: Some details are still being worked out and the event will not be published to the community. The space reservation is locked and cannot be reserved by others. Return to edit this event to update the state.
- Draft: Some details are still being worked out and the event will not be published to the community. The space reservation is not locked, others may schedule in that space. Return to edit this event to update the state.
Event Details Confirmation:
- Review all the details you’ve entered to ensure accuracy.
Submit the Event:
- Once you’re satisfied with the details, click the “Save” button.
- A confirmation will be delivered to your CCS email address.
- Take note of any confirmation or reference number provided upon successful submission.
- If needed, communicate the event details to participants or relevant parties.
Check for Approval:
- Depending on your institution’s process, your event may require approval. Check the status or any notifications regarding the approval process.
Edit or Modify (if needed):
- If there are changes to your event details, return to edit or modify the event within 25Live. If the event has been canceled after publishing, please edit the event and change the state to Canceled to release any room reservation.
