{"id":1072,"date":"2019-10-27T09:15:49","date_gmt":"2019-10-27T13:15:49","guid":{"rendered":"https:\/\/campus.collegeforcreativestudies.edu\/policy\/?p=1072"},"modified":"2024-11-14T13:28:47","modified_gmt":"2024-11-14T18:28:47","slug":"international-travel","status":"publish","type":"post","link":"https:\/\/campus.collegeforcreativestudies.edu\/policy\/international-travel\/","title":{"rendered":"International Travel"},"content":{"rendered":"\n<p><strong>I.&nbsp;&nbsp;\nIntroduction<\/strong><\/p>\n\n\n\n<p>The\nCollege for Creative Studies (CCS) is committed to developing global\npartnerships, increasing international diversity on campus, and providing\ninternational study opportunities for students.<\/p>\n\n\n\n<p>The\nCollege and the individual travelers have a responsibility for promoting\nhealth, safety, and security while traveling abroad.&nbsp; This policy defines\ninstitutional requirements that promote safety during international travel.<\/p>\n\n\n\n<p>Individual\ntravelers are responsible for compliance with this international travel\npolicy.&nbsp; Academic departments and College offices sponsoring CCS Related\nTravel (defined below) are responsible for informing travelers of this\ninternational travel policy and for facilitating compliance for individuals\nwhere appropriate. <\/p>\n\n\n\n<p>This\nInternational Travel Policy outlines the College\u2019s requirements for CCS related\ntravel abroad.<\/p>\n\n\n\n<p><strong>II.&nbsp;&nbsp;&nbsp;\nDefinitions<\/strong><\/p>\n\n\n\n<p>This\nsection defines four terms used in this document: Travel Abroad, CCS Managed or\nOrganized travel, CCS Related Travel, and Group Travel Abroad.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Travel Abroad:<\/strong> destinations outside the Fifty States of the United States of America and the District of Columbia. Travel to U.S. territories (including American Samoa, Guam, Northern Mariana Islands, Puerto Rico, the U.S. Virgin Islands, and the United States Minor Outlying Islands) and journeys on the High Seas are also considered travel abroad.<\/li>\n\n\n\n<li><strong>CCS Managed or Organized Travel:<\/strong> An international experience managed or organized by a CCS department\/office, faculty or staff member. Managed and organized includes: creating, funding, instructing, or approving the experience, or coordinating the applications and selection of participants.<\/li>\n\n\n\n<li><strong>CCS Related Travel: <\/strong>is defined in terms of two traveler roles:<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>CCS Faculty or Staff<\/strong><\/li>\n<\/ul>\n\n\n\n<p>Faculty or staff members who are\ntraveling abroad within the context of their job responsibilities are\nconsidered to be on CCS Related Travel. If faculty or staff members receive CCS\nfunds or CCS managed funds for travel or if they are representing CCS even if\nfunded by an international partner or third-party entity, they are considered\nto be on CCS Related Travel.&nbsp; While a trip might include personal\nactivities outside of the traveler\u2019s job responsibilities, if the primary\npurpose is work-related the trip is CCS Related Travel.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Student<\/strong><\/li>\n<\/ul>\n\n\n\n<p>Participants in Travel Abroad can\ninclude both individuals enrolled as students at CCS, but also individuals not\nenrolled as CCS students who participate in a CCS program; such persons are\ndesignated Students within this policy.&nbsp; A person traveling in a Student\nparticipant role who meets one or more of the following criteria is on CCS\nRelated Travel:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Receives CCS academic credit for the experience.\n<ul class=\"wp-block-list\">\n<li>Travels on a program or trip that is CCS Managed or Organized.<\/li>\n\n\n\n<li>Travels on a program or trip organized by Student Affairs or a program or trip that is formally sanctioned by a CCS department or office as a Sponsored Event.<\/li>\n\n\n\n<li>Receives funding from CCS or receives funds managed by CCS for their travel.\u00a0\u00a0 <\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Group<br>Travel Abroad:<\/strong>\u00a0<br>a cohort of CCS student participants with similar program experience<br>dates, itinerary, related activities at the destination, and identical or<br>related accommodations, for whom an organizer or leader is assuming some<br>responsibility. There is significant interdependence of participants within the<br>cohort. <\/li>\n<\/ul>\n\n\n\n<p><strong>III.&nbsp;\nPolicy<\/strong><\/p>\n\n\n\n<p><strong>A.\nCCS International Travel Registry<\/strong><\/p>\n\n\n\n<p>The\nCCS International Travel Registry is a confidential and secure database for\nmaintaining key travel information for faculty, staff and students traveling\nabroad. &nbsp;The Vice President for Enrollment and Student Services, and Associate\nProvost for Academic Affairs are responsible for the overall management of the\nCCS International Travel Registry.&nbsp; <\/p>\n\n\n\n<p>The\nCCS International Travel Registry is the official source of traveler\ninformation for locating and communicating with travelers, responding to\nemergencies, and managing media and public relations during critical incidents\nabroad.&nbsp; It also serves as the central source of travel abroad data for\ninstitutional reporting.<\/p>\n\n\n\n<p>All\nfaculty, staff, and students traveling abroad for CCS Related Travel must\nregister their travel in the CCS International Travel Registry before the\nexpected departure date. Whenever possible, travelers are expected to update\nthe registration, including travel dates, destinations, and on-site contact\ninformation, if updated information becomes available.<\/p>\n\n\n\n<p>Individual\ntravelers are responsible for verifying their travel registration through\neither self-registration or coordination with their sponsoring units.&nbsp;\nDepartments\/Offices sponsoring CCS Related Travel are responsible for informing\ntravelers of this travel registration requirement.<\/p>\n\n\n\n<p>The\ntravel registry can be accessed at:<\/p>\n\n\n\n<p><a href=\"https:\/\/forms.gle\/bkzTxewudwRUzkxn6\">Student Travel Registry<\/a><\/p>\n\n\n\n<p><a href=\"https:\/\/forms.gle\/QSY9F9xUSn3rW8E37\">Staff Travel Registry<\/a><\/p>\n\n\n\n<p><strong>B.\nTravel Abroad Health Insurance<\/strong><\/p>\n\n\n\n<p>All\nstudents, staff and faculty traveling abroad for CCS or affiliated with CCS are\nrequired to have travel abroad health insurance coverage from the College\u2019s\nauthorized vendor, regardless of whether the Student traveler has other health\ncare coverage.&nbsp; Student travelers are responsible for verifying travel\nabroad health insurance coverage either through self-enrollment or coordination\nwith their sponsoring units.&nbsp; Group leaders are responsible for informing\ntheir students and participants of this insurance requirement. <\/p>\n\n\n\n<p>*CCS\nwill accept the following plans <\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/www.geobluetravelinsurance.com\/index.cfm\">Geo Blue Travel Medical In<\/a><a href=\"https:\/\/www.geobluetravelinsurance.com\/in\">surance<\/a><\/li>\n\n\n\n<li><a href=\"https:\/\/www.statravel.com\/travel-insurance-single-policy.htm\">STA Travel | Word Nomads<\/a><\/li>\n\n\n\n<li><a href=\"https:\/\/www.internationalstudentinsurance.com\/travel-medical-insurance\/benefits.php\">ISI Travel Medical Insurance<\/a><\/li>\n<\/ul>\n\n\n\n<p><strong>C.<\/strong>\n<strong>Emergency Evacuation Insurance and Support<\/strong><\/p>\n\n\n\n<p>All\nStudents, Faculty and Staff traveling abroad for or affiliated with CCS must carry\ninsurance that covers emergency evacuation due to political unrest or natural\ndisaster. <\/p>\n\n\n\n<p>The college may evacuate or cancel travel at any time before, or during a program due to emergency situations. In making the decision to evacuate a person or group, the Office of Global Engagement consults the Travel Risk Committee. Evacuation support relies on CCS faculty, staff, and students to register their travel.<\/p>\n\n\n\n<p>Students\nwho remain in-country after being advised to evacuate will not be eligible for\ncollege funding or academic credit related to the travel experience and may be\nsubject to disciplinary action.<\/p>\n\n\n\n<p>&nbsp;*The\nplans outlined above carry evacuation insurance. Please inquire when enrolling\nto be certain the additional coverage is added.&nbsp; <\/p>\n\n\n\n<p><strong>D.\nHigh Risk Destination Travel<\/strong><\/p>\n\n\n\n<p>The\nCollege will conduct reviews and designate locations as High Risk Destinations.\n<\/p>\n\n\n\n<p>The\nVice President for Enrollment and Student Services (students) or the employee\u2019s\nVice President will make the final determination on this designation, upon\nconsultation with the Travel Risk Committee. This designation may occur at any\ntime before, or during an international trip. The College will not approve CCS\nrelated travel to destinations where health, safety, or security risks are determined\nto be significant and require unusual caution and risk mitigation strategies.\nFor example, travel to destinations experiencing serious outbreaks of\ninfectious disease, war or violent civil unrest.&nbsp; Students may not travel\nfor or affiliated with CCS to destinations that are under a High Risk\ndesignation.<\/p>\n\n\n\n<p>To\nsubmit an appeal for travel to these destinations, please follow the separate\npolicy for <a href=\"https:\/\/campus.collegeforcreativestudies.edu\/policy\/student-travel-to-high-risk-destinations-policy\/\">Student\nTravel to High Risk Destinations<\/a> or <a href=\"https:\/\/campus.collegeforcreativestudies.edu\/policy\/employee-travel-to-high-risk-destinations-policy\/\">Employee\nTravel to High Risk Destinations<\/a>.<\/p>\n\n\n\n<p><strong>E.\nIncident Reporting Requirements <\/strong><\/p>\n\n\n\n<p>While\ntraveling abroad affiliated with CCS, individuals should promptly report\nconduct that may violate College policies including: &nbsp;TITLE IX, student or staff conduct violations,\nor crimes. Individuals are encouraged to report incidents that may violate\ncriminal law to both the College and to local law enforcement. These processes\nare not mutually exclusive.<\/p>\n\n\n\n<p><strong>Related\nPolicies<\/strong><\/p>\n\n\n\n<p><a href=\"https:\/\/campus.collegeforcreativestudies.edu\/policy\/study-abroad\/\">Study
