Exhibit Equipment

Please note that for all exhibit equipment, regardless of who is requesting access, Information Technology Services and Audio Visual Services must receive authorization from departments that have priority rights before confirming any reservation. Equipment is limited, and we may not be able to provide requested equipment if it is needed by the priority department or is in use for another show.

Student Shows On-Campus

ITS/AVC will provide full support after receiving approval by the Department Chair or sponsoring faculty member. This includes:

  • Equipment reservation
  • Delivery
  • Set up
  • Testing
  • Triage support throughout exhibit
  • Take down and return

Faculty or Alumni Shows On-Campus

(This does not apply to individual faculty or alumni who are mounting an exhibit.)

ITS/AVC will provide equipment as available and full support for the exhibit. There is no guarantee that we will have equipment available for a faculty or alumni show.

Support for ITS/AVC provided equipment only includes:

  • Equipment reservation
  • Delivery
  • Set up
  • Testing
  • Triage support throughout exhibit
  • Take down and return

Non-CCS/External Exhibitors On-Campus: June 1 to Aug. 15 Only

Equipment for external or non-Academic shows will be provided during the summer months only based on a case-by-case evaluation of availability, dates, potential conflicts with student or faculty needs, and needs of priority departments. When equipment can be provided, ITS/AVC support will include:

  • Delivery
  • Set up and Connections
  • Pick up

Testing and Triage support is not available for external exhibitors. The sponsoring gallery or department should work directly with the Exhibitions Manager, Center Galleries.

External Off-Campus Shows for Students, Faculty, or Alumni

ITS/AVC does not support off-campus shows. Equipment may be reserved on an as available basis. Check out terms will be the same as for any equipment checked out from the ITS. It is the exhibitor’s responsibility to transport equipment to and form the exhibit site. Equipment checked out for an off-site show does not include:

  • Delivery
  • Set up
  • Testing
  • Triage support throughout exhibit
  • Take down and return
