CCS is legally and ethically obligated to protect the confidentiality of student records. The College has established a FERPA Training Policy<\/a> and to ensure that all employees understand their responsibility related to the protection of student data, the College is requiring completion of the U.S. Department of Education\u2019s FERPA 101: For Colleges & Universities <\/strong>(see instructions below). <\/strong>This training course must be completed within one month of starting your Graduate Assistantship position. <\/strong>This online training course was developed by the Privacy Technical Assistance Center of the U.S. Department of Education as an introduction to the Family Educational Rights and Privacy Act (FERPA), and its requirements relating to the privacy and security of Personally Identifiable Information (PII) in student records. This course addresses FERPA basics, explores requirements for the protection of student records for Colleges, Universities and other postsecondary institutions, addresses who may and may not access student records, when those records may be shared, and discusses several of the applicable exceptions to the FERPA requirement for consent.\u00a0<\/p>\n\n\n\n

To be granted access to student records, you must complete this training and upload the Certificate of Completion received at the end of the training module using the FERPA Go<\/a>o<\/a>gle completion form<\/a>.\u00a0<\/p>\n\n\n\n

If you have completed FERPA training outside of CCS, you may submit proof of completion using the FERPA Google completion form<\/a>.\u00a0<\/p>\n\n\n\n

It is important that all Directors and Chairs provide the necessary follow up to ensure that their employees complete the FERPA training in a timely manner. <\/p>\n\n\n\n

To complete the training module, please follow the steps below: <\/p>\n\n\n\n

1. Go to FERPA 101: For Colleges & Universities<\/a>\u00a0<\/strong><\/p>\n\n\n\n

2. Click on \u201cClick here to access this course\u201d <\/p>\n\n\n\n

3. Click on \u201cNew User? Register\u201d to set up your username and password \u2013 under\u00a0Organizational Affiliation, select Postsecondary Institution\u00a0<\/p>\n\n\n\n

4. Select the course 2023 FERPA 101: Colleges and Universities (Accessible) <\/p>\n\n\n\n

5. Click ENROLL located at the top right corner of the page <\/p>\n\n\n\n

6. Click START LEARNING NOW <\/p>\n\n\n\n

7. Make sure you have the volume turned on so you can hear the narrator <\/p>\n\n\n\n

8. There will be quizzes throughout the module that you will need to complete <\/p>\n\n\n\n

9. At the end, you will receive a Certificate of Completion <\/p>\n\n\n\n

10. You must upload the Certificate of Completion received at the end of the training\u00a0module using the FERPA Google completion form<\/a> to satisfy this training requirement.\u00a0<\/p>\n\n\n\n

In addition to completing this training module, please review the College\u2019s FERPA information located on the CCS website beginning with General Guidelines for FERPA<\/a> and Family Educational Rights and Privacy Act (FERPA)<\/a> in the CCS Policy Database.\u00a0<\/p>\n\n\n\n
